Background

Data marts are a quasi-live reporting tool that can be used to provide various configurable reports. Reports are available on Billing Companies, Employee Contracts, Expenses, Payroll, Managers, Sales and Timesheets. The user can configure which columns should be displayed in the report, and each column can be filtered to display only the desired data set.

Selection

To select different data marts, click the link at the top left hand corner of the screen. The default is Billing Company. Choose the desired data mart from the drop down menu on the popup window that appears. For each mart, by default all columns are displayed. To choose which columns to display, select the columns in question and use the hide/show buttons. Your selection will only be applied to the current view, so to save a regularly used configuration, type a suitable name into the "New Name" box, make your selections and click "Done". This configuration will then appear on the drop-down menu on next visit to the page.

Ordering

Each column has an up/down arrow immediately to the right of the column title. Click this arrow to order the data by that column's contents in ascending order. Click again to order in descending order. The default ordering is ascending order of the first column.

Filtering

At the top of each column is a filter box. Enter text in one or more boxes and the data mart will display only matching data. For example, on the Sales data mart, enter PAID in the status box to display only paid invoices.

Number filtering

For columns containing numbers, the following operators can be used to display a range of data.

  • = (equals)
  • > (greater than)
  • >= (greater than or equal to)
  • < (less than)
  • <= (less than or equal to)
  • AND (logical AND: both items must be present for the data row to be shown)
  • OR (logical OR: either item can be present for the data row to be shown)

For example on a data mart containing invoice numbers, typing

>= 43543

into the invoice number filter box will show only invoices with a number greater than or equal to 43543.

More complicated operations are also possible, e.g.:

>= 43543 OR <= 10008

will show invoices with numbers that are greater than or equal to 43543 or less than or equal to 10008. In other words the filter will show all invoices, but skipping those between 10008 and 43543.

Date filtering

Columns containing dates also accept special filter text. The following are all acceptable, replacing X or Y with the desired number:

  • X DAYS AGO
  • OLDER THAN X DAYS
  • MORE THAN X DAYS OLD
  • LESS THAN X DAYS AGO
  • BETWEEN X AND Y DAYS
  • NEWER THAN X DAYS

Combinations of the above can also be used, e.g.:

LESS THAN 5 DAYS OLD AND MORE THAN 1 DAYS OLD

which will have the same effect as

BETWEEN 4 AND 2 DAYS

Usage and syntax notes

Note that the filters are applied once the user has finished typing in the box and then clicks out of it. Care should be taken over syntax, particularly putting spaces in the correct place. Missing the space between the operator and a number will cause it not to work. For example:

>=43543

will not work, whereas the correct syntax is:

>= 43543

If a mistake is made, sometimes it is better to clear the box, let it regenerate the full list then type the correct syntax back in again.

Operators do not have to be typed in capitals, all examples in this help text show capitals for clarity

Note that filters can be applied to more than one box at once, so as many filters can be applied to the data as required at once.

Age of data

The data is quasi-live, in other words it is updated at regular intervals. The update interval is 1 hour so the data could therefore be up to an hour out of date. At the top right hand corner is a timer indicating in minutes when the last refresh was. If a completely up to date data set is required, click the refresh button immediately to the right of the timer text.

Excel download

At the top right hand corner is an Excel extract button. Click the button once to generate the extract, and the icon will turn green. Click again to download. The extract will contain whatever data is currently showing in the data mart, including whatever filters have been applied.
